The EY Program Assistant is responsible for providing program and administrative support to
the Early Years department. This position requires a team member who is multifaceted and can
keep programs connected and running smoothly. Maintains the integrity and confidentiality of
all information, communicates internally and externally to respond to inquiries and clarify details,
coordinates appointments, meetings, organize and assist with events, workshops, cultural
training, submits and tracks ASCD finance information, such as disbursements and maintains
office equipment and supplies. Processing ASCD service agreements and requests, waitlist
support, and purchase program supplies. Assists EY Manager with HR and on boarding of new
hires. Designs, creates, and maintains correspondence, documents, presentations, orientation
packages, and spreadsheets (including data entry) for authorization by management, processes
confidential and timely documents. The program assistant supports leadership in setting a
positive, collaborative, efficient tone for the program/department. Must possess the physical
ability to consistently bend, lift, and carry a weight of up to 15kg.
Qualifications:
• Diploma pertaining to office assistant/administration with bookkeeping/budgeting,
Early Years’ experience with support needs
• 3-5 years’ work experience as administrative support, or an equivalent
combination of relevant education and related experience
• Lead experience on event and workshop planning
• Demonstrates working knowledge of Indigenous family centered service, child
development, family support and community-based services
• Demonstrates understanding of developmental needs of children and their
mental, physical, social, emotional, and spiritual wellbeing
• Knowledge of Indigenous cultures, traditions and issues impacting on urban
Indigenous families
• Demonstrates Indigenous cultural agility and competencies in building
relationships with the Indigenous community
• Experience working in an Indigenous Centered focused programs
• Demonstrated ability to work both independently and collaboratively, resolve
administrative issues/problems, prioritize workload, and to be flexible to meet and
adapt to changes in organizational priorities
• Demonstrated ability to use database systems (CAMS), Microsoft Office 365
applications, including word processing, excel, and presentation software, at an
intermediate to advanced level
• Strong budgeting, financial skills, organizational time management and computer
skills
• Meet deadlines and manage priorities
• Active listening and empathy, professional telephone and email etiquette
• Strong work ethic and positive team engagement skills
• Well-developed interpersonal, oral, and written communication skills
• Experience with de-escalation techniques working with potentially hostile or
aggressive clients and adhere to safety guidelines to ensure staff and client safety
• Maintain professional Conduct in all aspects of the role
• Valid First Aid certificate, Infant CPR (AED Level C, considered an asset)
• Valid Class 5 BC driver’s license and own reliable transportation; willing to obtain
business insurance and liability coverage, clean driver’s abstract required
• Criminal record check working with children and vulnerable people is a
requirement of all employees of FRIS
• This position will be exposed to a low - mid-level noise and distractions from
children and families. Direct delivery may include moderate physical activity
involving walking, standing, bending, and ability to lift and carry materials
weighing up to 15 kg.
• Experience in the Non-Profit sector is considered an asset
Key Responsibilities

• Meet all program deadlines statistics and reporting
• Demonstrate priority setting to complete tasks for department
• Maintain accurate and efficient filing procedures for Early Years programs
• Process (new and renewal) service agreements/disbursement requests with
childcare centers and in own home, process monthly invoices for payment and
build connections and clear communications with service providers
• Function as a team member by supporting program where needed
• Assist and support reception and ACCESS program (workshops, transportation
backup) when asked by Manager and ED
• Monitor and maintain inventory, as well as purchasing supplies for program,
budget, manage and reconcile petty cash, cheque requisitions
• Content development and design, program calendar, social media, brochures,
and flyers
• Maintain and prepare appropriate record information system/accurate data for
use in monthly and annual reports for EY programs and MCFD
• Keep personal data safe, secure, and confidential
• Assist and or lead with organizing agency meetings, take minutes, events,
workshops, and activities
• Support planning of event and workshops
• Participate in agency events, trainings and activities, as required (NIPD, Truth &
Reconciliation/Orange Shirt Day) and other community events required by the
organization
• Additional admin duties as required and assist with referral process to all
programs, including knowledge of overall operations of the organization and community
events
• All staff must participate in taking care of our spaces by assisting with light
cleaning duties including kitchen areas, meeting spaces, reception areas, and other
common spaces
• Comply with Worksafe BC health and safety standards to maintain a healthy and
safe environment
• Assist with program evaluation and quality improvements (admin of surveys)
• Adhere to polices and standards of FRIS
